Event & Project Assistant DTM - German Speaking (Sport Signage)
Entry Level
Amberg, Germanyhybrid
Full time
Job description
About the Role
This role supports the DTM Operations Manager and wider event team with the coordination, documentation and information flow required to deliver the DTM programme consistently and commercially. It ensures billable activities, additional work, labour, materials, supplier information and supporting evidence are captured while events are live and passed to the Accounts Receivable & DTM Coordinator in a complete and timely format. The role provides continuity across preparation, delivery and closeout, allowing the DTM Operations Manager to focus on event ownership and delivery.
Key Responsibilities
- Prepare and maintain event information packs, schedules, contacts, trackers and reporting files, and support the DTM Operations Manager with event preparation, actions and administrative follow-up.
- Maintain accurate current event files, action logs, contact information and project records, keeping agreed documentation organised and accessible for operational or commercial follow-up.
- Capture labour, material, supplier, equipment and project information while on site, follow up missing data with workstream owners before event close, and maintain clear event-by-event records.
- Collect source information for DTM billing, maintain visibility of billable activities and additional work, prepare clear event handover packs, and respond promptly to billing-information queries to close gaps while event knowledge is available.
- Record additional client requests, scope changes and work outside planned scope, including labour, materials, supplier involvement, timing and evidence, and escalate commercial questions rather than making independent pricing or billing decisions.
- Maintain agreed records of permanent, freelance and subcontractor resources, collect supplier documentation, receipts or supporting information for closeout, and flag material differences between planned and actual resource use.
- Record significant material use, shortages, additional purchases, damage or losses relevant to event cost and billing, support Inventory, Warehouse and Logistics teams with return and damage information, and capture client-attributable or project-relevant damage quickly.
- Maintain organised photo records of additional work, completed deliverables, damage, changes and agreed reporting items, labelling and storing evidence so it links to the correct event and activity
- Support the DTM Operations Manager with concise status updates and action tracking, maintain clear owners and due dates, and escalate unresolved administrative or information gaps before they affect closeout or billing.
- Provide complete and structured event information to the Accounts Receivable & DTM Coordinator using agreed billing templates, help improve handover where recurring gaps delay invoicing, provide practical project support, coordinate meetings, follow-up actions
- Information requests and event administration, and support other Sport Signage projects when DTM workload permits and directed.
- Coordinate the final event data pack after dismantling and demobilisation, ensure open billing items, supplier documents, damage records, additional work and outstanding actions are identified, complete handover within the agreed timeline, identify recurring reporting or billing-data gaps
- Recommend practical improvements, support repeatable DTM templates, checklists and closeout processes, and capture lessons learned.
Required Experience & Qualifications
- Experience in event coordination, project administration, project support, billing support or a comparable role.
- Strong ability to work with spreadsheets, trackers, schedules and structured project information.
- Comfort working on site, travelling to events and supporting a small team with broad responsibilities.
- Project coordination and strong administrative discipline.
- Excel or spreadsheet capability and accurate data entry.
- Billing awareness and ability to identify missing commercial information.
- Clear written and verbal communication.
- Attention to detail and strong follow-through.
- Ability to work independently while knowing when to escalate.
- Organised file management and document control.
- German-speaking capability for the DTM role.
Preferred Skills
- Experience in motorsport, live events, signage, production or deadline-driven project environments is advantageous.
- Experience supporting invoicing, billable-scope capture or project closeout is highly advantageous.
Workplace
- Can be based in either the Amberg, Germany office or the Orpington, London office.
- Hybrid working with three days per week in the office.
- Travel across the DTM calendar and other assigned projects as required.
