About the Role
The Project Manager manages the internal project development process for WB Global Experiences Creative, helping to move select projects from initial concept through execution. The role serves as a critical bridge between creative/art direction and day-to-day project coordination, ensuring schedules, approvals, communications, assets, budgets, vendors and stakeholder alignment are managed clearly and efficiently. The Project Manager works closely with the Creative team, internal partners, external vendors and global territories to maintain creative vision while keeping projects organised, on schedule, within constraints and moving toward successful delivery.
Key Responsibilities
- Manage the internal project development process for multiple projects, from early concept development through execution and delivery.
- Serve as a bridge between creative/art direction and execution, translating creative priorities into clear next steps, deliverables, timelines and direction for internal teams, vendors and partners.
- Partner with the Creative team to align internal and external stakeholders, consolidate feedback and ensure direction to vendors and partners is clear, actionable and consistent with the creative vision.
- Oversee Brand Assurance representatives and all Brand Assurance department needs.
- Develop, maintain and manage schedules for the full concept design process, actively reviewing milestones, dependencies, approvals and deliverables to ensure deadlines are met.
- Identify and communicate project status, risks, gaps, blockers, dependencies and opportunities to Art Directors and stakeholders, escalating key issues, documenting decisions and helping develop practical mitigation plans.
- Support internal budget management, including defining scope, establishing cost estimates, managing project costs and flagging budget considerations or constraints to Finance departments.
- Assist with the vendor selection process, including requests for pricing, bid coordination, contracting, onboarding, payment processing and ongoing vendor communication.
- Coordinate the work of external vendors, consultants and partners, ensuring they have the information, assets, feedback, approvals and direction required to complete assigned work.
- Maintain organised project files, creative assets, approval records, reference materials, vendor submissions and documentation to ensure accurate asset management and version control.
- Provide collaborative leadership and manage across internal teams, franchise partners, legal, finance, sourcing, vendors and territory teams, working globally to identify efficiencies, share information, align expectations and support consistent project execution across regions.
- Support the Creative team during concept development by organising creative reviews, documenting feedback, tracking action items and managing internal project communications, approvals, assets, schedules and meeting follow-ups.
- Support the Creative team in directing and maintaining the creative vision within project parameters, including schedule, budget, operational, partner, territory and production constraints.
Required Experience & Qualifications

- Minimum 5-8 years of project management or coordination experience in creative production, themed entertainment, experiential design, live entertainment, location-based entertainment, or related internal creative operations.
- Excellent organisational and project management skills, with the ability to manage multiple internal projects, schedules, priorities and deliverables simultaneously.
- Highly detail-oriented, with strong follow-through and the ability to track approvals, open items, assets, versions, deadlines and next steps accurately.
- Must be able to communicate effectively, professionally and tactfully with creative leadership, internal stakeholders, global territory teams, vendors and external partners.
- Must be able to work in a fast-paced environment, prioritise effectively, anticipate needs and proactively identify risks, blockers and solutions.
- Comfortable working with creative assets, reference materials, presentation decks, digital files, vendor submissions and project documentation.
- Able to synthesise information quickly, identify urgent issues, escalate appropriately and help drive timely decisions.
- Must have the ability to acquire and work with knowledge of WB Global Experiences project types, including theme parks, pop-ups, location-based entertainment, hotels, restaurants, retail, touring and other experiential formats.
- Ability to move comfortably between big-picture project objectives and detailed execution needs, including schedules, budgets, vendor coordination, approvals, assets and communications.
