About the Role
This role acts as a project manager responsible for keeping assigned projects and workstreams organised, aligned, and moving forward from brief through delivery. It brings structure, clarity, and momentum to the work by translating direction into actionable plans, coordinating cross-functional teams, and ensuring deliverables, timelines, and responsibilities remain on track. The position works closely with Account and Operational Leadership to support the successful execution of client programmes and serves as a central point of coordination across internal teams and, when appropriate, client stakeholders.
Key Responsibilities
- Manage day-to-day project workflows across assigned projects and workstreams, translating client briefs and project direction into detailed workplans, timelines, trackers, and action items with project and account leads.
- Coordinate cross-functional teams across Strategy, Creative, Production, Experiential, Social, and other disciplines, maintaining alignment on priorities, milestones, and dependencies.
- Organise and facilitate project status meetings, internal check-ins, and working sessions, ensuring clear agendas, documentation, action items, and follow-through.
- Maintain visibility across project workstreams, track progress, follow up proactively on deadlines, adapt to shifting priorities, and help teams sustain momentum through execution.
- Support creative development, reviews, feedback cycles, approvals, and final deliverables, identifying potential delays, resource gaps, or workflow challenges and recommending solutions.
- Support day-to-day client communication, prepare project status updates, timelines, and materials, and translate client feedback and requests into clear action items and next steps for internal teams.
- Maintain close communication with Account Leadership, participate in client meetings as appropriate, and proactively surface questions, decisions, or potential challenges that require leadership input.
- Support coordination with external partners including teams, leagues, talent, properties, agencies, and vendors, tracking partnership commitments, approval requirements, key dependencies, and organised documentation.
- Support development of project scopes, staffing plans, budgets, and timelines, and track project financials including agency time, hard costs, budget updates, and reconciliation inputs.
- Monitor project activity against approved scopes, assist with financial reporting, forecasting, and reconciliation, coordinate with Production on resource and delivery needs, and maintain project management tools, trackers, documentation, and approval processes.
- Serve as a dependable point of coordination across project teams, support junior team members, foster collaboration across disciplines, and contribute to a positive, accountable team environment.
- Reinforce agency processes and best practices, identify opportunities to improve efficiency and reduce complexity, and build familiarity with the sports, entertainment, and cultural landscape.
Required Experience & Qualifications
- 3–6 years of experience in a creative agency, sponsorship marketing, experiential marketing, integrated brand marketing, project management, or related environment.
- Experience coordinating integrated projects or campaign workstreams from brief through delivery.
- Demonstrated ability to manage timelines, deliverables, project documentation, and cross-functional workflows.
- Experience supporting client communication and coordinating across internal and external stakeholders.
- Exposure to project scopes, budgets, staffing plans, and financial tracking.
- Experience working across Creative, Strategy, Production, Experiential, Social, or related disciplines.
- Experience delegating tasks to or mentoring junior team members.
- Proficiency in Google Workspace and familiarity with project management and collaboration platforms.
- Familiarity with AI-powered productivity tools (e.g., ChatGPT, Gemini, Notion AI, etc.) and an interest in leveraging emerging technologies to improve workflow efficiency and insight generation.
- Strong project management and organisational skills with the ability to coordinate multiple projects, workstreams, and deliverables simultaneously.
- Excellent attention to detail and follow-through, ensuring project information, timelines, and documentation remain accurate and up to date.
- Ability to translate direction into clear plans, action items, responsibilities, and next steps.
- Strong written and verbal communication skills, with confidence coordinating across internal teams and client stakeholders.
- Proactive problem-solver who anticipates needs, identifies risks early, and knows when to escalate.
- Ability to manage competing priorities and maintain organisation in fast-paced, evolving environments.
Preferred Skills
- Experience coordinating external partners such as teams, leagues, talent, properties, agencies, or vendors.
- Experience directly managing timelines and deliverables across creative and production workflows.
- Exposure to sponsorship strategy, partnership activation, or integrated campaign delivery.
- Passion for culture, innovation, and helping brands show up meaningfully in the world.
