Job description
About the Role
Owns day-to-day inbound and outbound shipping, freight coordination and warehouse dispatch workflows. It acts as a vital link between supply planning, external forwarders and warehouse operations to ensure the seamless movement of raw materials, samples and finished footwear products worldwide. The role sits within the Lightspray team, a group of passionate innovators and entrepreneurial thinkers united by a mission to make high-performance footwear at scale, anywhere, anytime, while minimising environmental impact.
Key Responsibilities
- Organise and manage international and domestic freight movements across multiple modes (FedEx, air freight, trucking), ensuring seamless customs handling and adherence to agreed Incoterms.
- Oversee order confirmations in Nexus, calculate and update shipping data (weights, FOB pricing, carton information), and generate key shipping documents including PTS, packing plans, labels and commercial invoices.
- Manage inbound shipments of raw materials and components to the ZRH Factory, obtaining carrier quotes, checking Incoterms and aligning suppliers and forwarders to support production timelines.
- Serve as the primary operational contact for the 3rd-party warehouse (Welti), visiting the site approximately twice a week to coordinate Pick & Pack workflows, oversee QC inspections, support inventory tracking and solve daily ground-level bottlenecks.
- Lead logistics for ad-hoc requests, including Sample Room shipments, B-Grade orders, marketing events and special customer pickups (DIST orders with custom pick-up requirements).
- Define, document and establish clear Standard Operating Procedures (SOPs) for inbound and outbound shipping workflows to improve lead times and optimise shipping costs.
- Liaise daily with Supply Planning, Factory Operations, Customs, Development and Marketing teams to manage last-minute requests and ensure on-time dispatch.
Required Experience & Qualifications
- Proven logistics and freight experience: 2–4+ years of hands-on experience in freight forwarding (Spedition), international shipping or logistics coordination within a fast-moving industry.
- Solid freight and customs knowledge: practical understanding of international transport modes (air, road, courier), Incoterms, commercial invoices and customs/import-export coordination.
- System and data affinity: comfortable working with ERP/supply chain management systems (e.g. Nexus) and MS Excel / Google Sheets, with high accuracy for shipping data and order specifications.
- Hands-on and resilient mindset: pragmatic problem-solver who stays calm under pressure, manages last-minute changes effortlessly and enjoys splitting time between desk/coordination tasks and physical warehouse presence.
- Strong communication skills: excellent written and verbal communication in both English and German.
Preferred Skills
- Experience within sportswear, retail or manufacturing is preferred.
Workplace
- Combines desk-based coordination with physical presence at the 3rd-party warehouse (Welti), including site visits approximately twice a week.
Benefits & Perks
- An environment designed to give people the tools to develop holistically, including opportunities to stay active, learn, explore and innovate.
- A supportive, team-oriented atmosphere.
- Access to personal self-care for both physical and mental well-being.
- A purpose-led working environment.
