Contract: Fixed Term until end October 2020
Holiday: 20 days pro rata
Salary: £26,000 per annum pro rata
Limelight Sports has an exciting opportunity for a Junior Staffing & Logistics Manager to join its highly experienced Campaigns team. The Junior Staffing & Logistics Manager will support the Staffing & Logistics Manager, and Event Managers, on the recruitment, communication and deployment of event day staff and volunteers, as well as organising all of the logistics surrounding the event staff and volunteers involvement at the event.
As the Junior Staffing & Logistics Manager you will liaise with our external communities, ‘friends of Limelight’ partners, agencies, individuals, volunteer groups and internal teams to ensure they have everything they need to deliver the event. The varied role realises the importance of successful relationships and strong attention to detail with all event related paperwork and documentation.
You will report to the Staffing & Logistics Manager and work closely within the Events team, as well as across functions with the wider Campaigns team, Client Services and Project Management.
As the Junior Staffing & Logistics Manager you are responsible for:
o Working with the Staffing & Logistics Manager to design and implement the staffing plan for allocated events in line with client requirements to ensure we have the right people working on the event.
o Liaising with Limelight’s preferred supplier for the recruitment of general event day staff
o Working closely with volunteer groups to advertise, recruit and assign roles to volunteers, as well as reviewing and implementing different engagement approaches with volunteer groups
o Assign, recruit and communicate with Limelight’s team leaders and supervisors their roles and all information concerning their involvement in an event to ensure they have the necessary tools to deliver the event
o Managing all of the logistical requirements for each assigned event. This includes but is not limited to catering, accommodation, travel, equipment etc
o Preparing briefing documents and training manuals for the event day teams, so that they have all of the information they require to perform their role efficiently and to the highest standard.
o Managing the sign in process, deployment of staff, reallocation and distribution of provisions on site, whilst troubleshooting any staffing & volunteering problems that arise at the event
o Building strong working relationships with team Limelight, partners, key suppliers and volunteer groups
o Helping manage the existing staffing and volunteer database and exploring new creative ways to grow these networks with the Staffing & Logistics Manager
o Ensuring that all event staffing documentation is to a high standard and sent to individuals and organisations in a timely manner
o Working with key project documentation including but not limited to project delivery plans, critical path documents and post event evaluations
o Work closely with key staff and other internal members of the event team, to collect all payroll information (P46’s, Starter Forms, pay, expenses) for event day staff working at all of our events and share with the payroll department to process
