The Integrated Planning Manager, reporting to the Head of Event Readiness, Integrated Planning and C3 (ERIC), will be a champion for the Integrated Planning ways of working across the World Rugby landscape.

Integrated Planning is a fundamental characteristic for World Rugby, ensuring we are working in an aligned and collaborative manner. Due to the scale and complexity of major sporting events, this integrated way of working is imperative.

Responsibilities of the role will evolve as Events & Media matures and through the life cycles of a Rugby World Cup.

Integrated Planning requires working with Events & Media and LOC’s functional areas to add value and support their planning and delivery efforts, including but not limited to:

  • Supporting the refinement and updating of Standard and Delivery Frameworks with Events and Media functional areas to not only avoid scope gaps and overlaps but to also support optimised procurement and delivery outcomes
  • Supporting the development and coordinating the approval process of Functional Area Operating Plans (FAOPs)
  • Helping to prioritise tasks, and ensuring tasks are timely, appropriately focused, resourced and set-up for success
  • Support tracking and reporting of progress of integrated planning tasks
  • Provide project support as required by the Event Planning division


  1. 1. Knowledge and Information Management
  • Coordinate the Transfer of Knowledge (ToK) for Rugby World Cups. Working with Events and Media functional areas to understand the data capture requirements.
  • Coordinate and facilitate ToK Interviews with LOC functional areas, external stakeholders, delivery partners and Events and Media, as required.
  • Management of the Rugby World Cup Knowledge Site. Ensuring that the latest documents received as part of the Transfer of Knowledge have been uploaded.

  1. 2. Standard and Delivery Framework Monitoring
  • Following the publishing of Version 1 of all Standards and Delivery Frameworks the role will support the change management process of these documents.
  • Ensuring version control is up to date and correct versions are publishing.
  • Coordinating and facilitating working groups as required to ensure an integrates approach is taken to any amendments.

  1. 3. FAOP Coordination
  • Working with the LOC functional areas to ensure that FAOPs development is staying on track with programme timelines.
  • Offering support to functional areas to set up meetings and working groups to avoid overlaps or gaps and ensure dependencies are aligned across the LOC and Events and Media.
  • Coordinate the approval process, ensuring that FAOPs are uploaded to the approval portal, the required FAs have reviewed and oversee the approval process engaging with Events and Media.

  1. 4. Policy, Procedure and Contingency Planning Coordination
  • Owner of the Policy & Procedure master list and the Contingency Plan master list
  • Working with the LOC to ensure that policies and procedures are being written for the tournament and overseeing the approval process.
  • Owning the approval platform and offering user support (same platform used for FAOPs)

  1. 5. Tournament Integration Countdowns
  • Work with the Programme Delivery Managers in the LOC and Events and Media to ensure that Integrated Planning milestones and tasks are kept on track.
  • Working with task owners to ensure content is fed into the monthly Tournament Integration Countdown meetings to effectively launch tasks.
  • Support with the Tournament Integration Countdown agenda drafting and content collection.

  1. 6. Special Project Delivery
  • Lead and coordinate specific project activity as determined by the Chief of Events
  • Undertake such other duties and projects as may be required from time to time as are consistent with the responsibilities of the post and the needs of World Rugby Events and Media.


  • Previous experience in a project management and/or integrated planning environment preferably in a major event environment,
  • Strong project planning experience and the ability to manage effectively within scope, timelines and quality
  • Demonstrate experience of operating in a multi-stakeholder environment, capable of managing varied perspectives.
  • Previous experience working across a diverse stakeholder landscape building effective working relationships
