WorldSkills International is seeking a Director of Event Operations to join the Secretariat. This is a full-time position. Join the high-performance virtual team in a leadership role and work with the global Secretariat from anywhere in the world.

The Director of Event Operations is a member of the WorldSkills International Senior Management Team and hence has a very important role in managing all operational matters for the organization’s flagship event, the WorldSkills Competition, as well as the biennial General Assembly meetings. The Director of Event Operations is required to complete complex tasks and projects, able to make timely decisions with limited guidance, understands strategic priorities, and exercises appropriate levels of urgency and judgement to situations that require a high level of attention. The Director of Event Operations is passionate about the vision and mission of WorldSkills and is proactive, resourceful, dedicated, and works with a high level of integrity.

The Director of Event Operations must have extensive experience working in senior management roles, ideally in event organizations. Experience working internationally would be a significant advantage.

Areas of responsibility

  • Support and guidance of the Competition Organizer (local Organizing Committee) in the strategic planning of all operational aspects of the event to ensure successful organization and implementation of the biennial WorldSkills Competition including:
  • Customer service and package management
  • development, approval, and release of the competition packages for approximately 7,000 delegates and all areas linked to packages such as package system, accommodation, arrival and departure, transportation, catering, side programmes, and event logistics.
  • Venue operations
  • all venues linked to the WorldSkills Competition including Competition venue, ceremonies, excursions
  • security, venue logistics, room and facility management, access control, ticketing, registration and accreditation
  • Information Technology
  • Manage IT systems for package management, registration and accreditation
  • IT planning and requirements for the Competition venue and special events such as the ceremonies
  • Special Events
  • Oversee all operational aspects of the Opening and Closing Ceremonies, the WorldSkills Conference, and all side events (evening programmes, excursions, etc.)
  • Support and guidance of the Competition Organizer in the planning of all operational aspects for a successful organization and implementation of the “Competition Preparation Week”, that takes place as a preparatory meeting in the host city and includes customer service and package management for approx. 500 delegates and other guests
  • Support and guidance of the Competition Organizer in the planning of all operational aspects for a successful organization and implementation of the General Assembly that takes place every non-Competition year in a different city and includes customer service and package management for approx. 500 delegates, as well as venue and room management
  • Development of the overall operational structure within WorldSkills International, taking into account the aforementioned responsibilities
  • Creation of a personnel, task and reporting structure for the team members, taking into account the intercontinental framework
  • Implementation and integration of all operational responsibilities within the Secretariat.
  • Development of smooth processes within the individual work areas in accordance with each individual’s role and responsibilities
  • Establishment of an operative task force consisting of specialists who support the Competition Organizer in the host city for a defined period of time, prior to the Competition
  • Project Management: Description of the processes and coordination of goals, results and deadlines and integration into the overall project management
  • Relationship building with stakeholders, in particular with the Member countries and regions, as well as the WorldSkills International Board. Provide regular updates and presentations to the various committees
  • Regular internal coordination with the CEO and the Directors of the other departments
  • Be involved in the development and execution of activities related to the “Vision 2025 Strategic Action Plan” and the overall development and growth of the organization and brand
  • Provide guidance and support to all WorldSkills Member countries and regions

Profile, qualifications, experience

  • Bachelor, Master’s degree (or diploma) and Minimum of three to five years senior management and leadership experience
  • Formal professional qualifications related to the role
  • Have been a direct report to the CEO or Executive Director of an international company or organization would be an advantage
  • Extensive experience in a similar position (operations and/or project management), ideally in an international company or organization and/or international events
  • Experience in multicultural work environments and intercultural competency
  • Excellent communication in English (written and verbal), with strong interpersonal and organizational skills
  • Excellent presentation skills
  • Strong relationship management skills
  • Strong leadership skills
  • Excellent team player with demonstrable experience of working collaboratively internally and externally
  • A demonstrable track record of making management decisions
  • Ability to maintain complete professionalism under pressure
  • Ability to handle difficult situations
  • Superior attention to detail
  • Ability to meet deadlines while addressing multiple requests
  • A high level of integrity and discretion in handling confidential information
  • Superior project and time management skills
  • Extremely competent with technology/IT skills and ability to learn new things quickly
  • Experience of working virtually and working remotely will be a distinct advantage
  • Willingness to travel frequently internationally and work evenings and weekends when required
