The Guest Relations Assistant is responsible for managing guest invitations and acting as the key point of contact for specific UEFA divisions, guests and operational teams. The role also involves assisting guests to register for UEFA finals and events, and ensuring that all services are booked according to the appropriate service levels and that the data sent to service providers is accurate. In addition, the Guest Relations Assistant provides administrative and logistical support to the Guest Management & Protocol team and helps them with event preparation tasks.


  • Compiling guest lists based on information provided by the UEFA divisions concerned;
  • Managing UEFA VIP guest groups;
  • Collecting data on individual guests;
  • Sending out invitations through UEFA's invitation management system;
  • Assisting guests during the registration process if necessary;
  • Following up on pending invitations;
  • Providing confirmations to guests with regard to registrations and services;
  • Checking and validating data to ensure that it is accurate;
  • Providing guests with organisational information for the event in question;
  • Coordinating with service providers such as event transport and accommodation providers;
  • Staying up to date on guest-related services and operational aspects of events and keeping the relevant UEFA divisions informed;
  • Managing last-minute changes and requests;
  • Handling change management from UEFA headquarters in Nyon or on-site at the event in question;
  • Following up on no-shows;
  • Following up with guests after events;
  • Providing support and training to other Guest Relations Assistants, as required;
  • Supporting UEFA's event planning team with administrative and logistical tasks;
  • Supporting on-site operations, as required;
  • Assisting with guest management projects, as required.


Experience required:

  • From 1 to 3 years in guest management/customer services
  • A first experience with travel bookings and/or using database systems
  • A first experience in international events


  • Bachelor's in hospitality management


  • English / Proficient
  • French / Proficient
  • Knowledge of any other European language in addition to English and French would be an asset
