Job Description

A fantastic opportunity has arisen for a Team Co-ordinator with in the Strategy and Corporate Affairs team at the RFU. The role is responsible for providing a full range of administrative support to the department and executive support for the Function Head.

Key responsibilities will include:

  • Working to organise all general office administration for the team, working at all times to maximise productivity of the work area;
  • Building, maintaining and enhancing the team filing systems (both hard and electronic copy);
  • Maintaining up to date holiday records; booking any staff training as required; ordering office equipment, stationary or any other items required by the team;
  • Ensuring all invoices are accurately processed in a timely manner;
  • Working to support Budget Management, including assisting the Head in analysing monthly financial management reports, particularly in terms of explaining variances;
  • Updating the Operational Plan for the International & Public Affairs team on a monthly basis and keeping an accurate record on progress being made towards team objectives;
  • Booking all domestic and international travel and accommodation for the team;
  • Arranging room bookings for weekly team meetings, monthly operational planning meetings and quarterly current development meetings plus for other meetings as and when the requirement arises;
  • Providing match day logistical support as and when required;
  • Providing Executive Support for the Function Head as and when required, such as diary management;
  • Taking meeting minutes as and when required including in the IRAG and SR meetings; Administration
  • Working to organise all general office administration for the team, working at all times to maximise productivity of the work area;

  • Maintaining up to date holiday records; booking any staff training as required; ordering office equipment, stationary or any other items required by the team.
  • Providing event day logistical support to the team (not limited to match day); this will include supporting meeting of the All Party Parliamentary Rugby Group, the Commons and Lords Rugby Club, Parliamentary receptions (both Westminster and Brussels based) , meetings of the International Relations Advisory Group (IRAG) and Social Responsibility (SR) Panel;

To succeed in this role, you must have experience of office management, organising and operating office systems and providing executive support in a corporate environment (previous experience in a similar administration role will be advantageous). You must be educated to a minimum of 'GCSE' standard or equivalent. Preferably with at least five GCSEs at grade C or above.

You will also be able to communicate effectively with employees from all parts of the company and to present a highly professional image when representing the RFU. The ability to demonstrate excellent organisation skills and apply these to office systems and processes is essential for the role.

The role holder must be able to establish positive working relationships with staff throughout the organisation and command the respect of others.

The successful candidate must be competent in speed writing and must be confident in with working with databases and have an affinity with computer based records and reporting applications.

The ability to organise him/herself effectively and use time efficiently is essential along with a methodical and process orientated approach to work.

"Customer service" driven, with an orientation towards serving the needs of others providing a consistent, high quality service at all times whilst being an effective team member with sufficient flexibility and willingness to take on roles outside his/her normal functional responsibility when required is vital for the role.

Focused on meeting deadlines with the ability to effectively balance and prioritise the administrative needs of the department and maintaining confidentiality with the ability to handle highly sensitive material with discretion is key to the role.
