In 2017 we are looking for an Head of Planning & Bureau Services who is fluent in English & Korean for the PyeongChang 2018 Winter Games, This role will be based in mainly in Gangneung. If this sounds of interest, read the job description below, and we look forward to receiving your application.

To Support and lead at times in the planning and delivery of iLUKA’s Operational and Office needs for the PyeongChang 2018 Winter Olympics, working with the operations team you’ll work with a liaise with all departments of iLUKA.

PRE-GAMES TIME:

  • Client status: to own and update the client status spreadsheet
  • Staff list ownership and updates
  • Budget summary: to monitor planned X actual expenses for the Operations related areas (Transport, Logistics, IT & Infrastructure, Staffing & Recruitment, Security)
  • Contracts:
    • to keep an inventory of Ops contracts with suppliers
    • to work closely with the Director of Operations to seek ways to maximize supplier relationships both commercially and excellence in delivery
  • White Papers:
    • To support Operational Leads and ensure deadlines as indicated in the White Papers are met (to create and monitor a timeline with the main deliverables)
    • To support the client programme teams (Programme Managers) in the delivery/liaison with the client as to what is expected with the White Papers
    • To own and update a White Paper status spreadsheet
  • Security:
    • To assist in the planning of security framework both for the clients and for iLUKA
  • New iLUKA office setup: to plan and make sure all is done so as to deliver the new iLUKA office in Gangneung (including timeline, budget and contract reports)
  • To act as the key channel between Operational teams and client services teams, ensuring a strategic “big picture” view is taken across all deliverables and programmes
  • To support IT & Infrastructure in the search and contact with suppliers in Korea
  • Board Meeting reports: to consolidate into a report info to be provided by the client services teams on the status of their programmes
  • Assist in the production of the Games Time Operations Manual

GAMES TIME:

  • To work closely with the Business Operational Leads:
    • To help identify gaps and roadblocks to best in class delivery – escalating for assistance when needed and sharing incidents as key learnings for continuous improvement
    • To ensure resources are sensibly aligned across multiple programmes
    • To ensure any operational changes are properly communicated and understood by all parties
  • To act as “Ops point person” for client services teams
  • To assist the Director of Operations in ensuring process efficiencies and procedure compliance
  • Set up and participate in the daily operations meetings
  • Follow up on deadlines and commitments of operational departments
  • Observer role in team training
  • Operational functions daily reporting procedure
  • Keeper of database with contact info for operations staff during Games Time
  • “Plan B” ownership and execution policies and procedures

The Skills and Experience you need:

  • Fluent in both Korean and English
  • Fluent in Japanese would be an advantage but not necessary
  • Advanced IT Skills, excelling in Excel & PowerPoint
  • Experience in Operations
